Pembroke 300th Anniversary Committee

PRESENT FROM THE COMMITTEE:
Lew Stone, Karen Proctor, John Proctor, Otis Hathon, Kathleen Keegan, Pat Ahearn, Deborah Wall, Beth York, Claudia Cuscianna, Bob Dorsey, John Mattinson and Margaret Neil.
Mr. Stone, Vice Chair, called the Pembroke 300th Parade Committee meeting to order at 7:02 p.m. in the absence of Mr. Boulter, Chair.
Approval of Minutes
The minutes of October 26, 2010 were accepted as presented.
1. Treasurer’s Report: no report, Madeline Block was absent.
2. Booklet Committee: no report, Libby Bates absent.
3. Ball Committee: the committee is scheduled to meet next week.
4. Web Site: Deborah Wall is accepting information from committee members who would like to be on the web site. She has not heard from Rick Janhola as yet regarding setting up a web site page for the Parade Sub-Committee. She has the Pembroke 300th pins displayed on the web site and facebook. Anyone who wants to be on facebook should let her know as it is definitely a possibility. She reported that Beth Dwyer has a needlepoint pillow depicting the 300th anniversary that she is donating as a fundraiser.
5. Research: Karen Proctor had nothing new to report.
6. Parade: John Mattinson stated that the committee would like to have a virtual parade on the web site. Karen Proctor said that she could provide pictures of Pembroke parades starting in 1912 and up. She will bring the pictures to the next meeting.
7. Herring Run Road Race: Beth York reported she would work on an up-front budget for the race committee. She stated that she would like to attend a Parade Committee meeting to coincide the race with the parade. John Mattinson informed her that he could supply her with up-to-date information. The route has been established as starting at the Pembroke High School and ending at the Pembroke Greeen into the parking lot. Step-off for the parade has been planned for 1:00 p.m. depending on the road race. This will be worked on together. For everyone’s information the main start as mentioned is the High School but children and older adults can be picked up at Olivera’s Restaurant. It was determined that the race/parade will be approximately l-1/2 miles. The budget for the Race Committee would consist of up front money for T-shirts, snacks, goody bags, bottled water, etc. The Race/Parade will be on September 23, 2012. The race and parade will be televised live, especially the runners crossing the finish line.
8. Canoe Race: no report, Bill Boulter is working on this.
9. Production: John Mattinson reported that there has been no formal meeting. He has learned that there are Pembroke High School students who would like to be involved. He mentioned that if any of the committee heads want to be on TV, which will be painless, just get in touch with him and he will make the arrangements. They will continue playing the episodes to remind viewers of the approaching celebration. They have applied to Cake Boss Production Company to see if the 300th Committee would qualify to be the recipients of a cake to celebrate our 300th birthday party on the Green. This would be excellent for our public relations.
10. Printing: labels have been delivered to the Boston Winery.
11. Wine: no report
12. Public Relations: Kathleen Keegan continues to inform the public that volunteers are needed for our various committees. Regarding the Kick-Off Committee, it was decided that members have not been enlisted/organized for this particular committee. It was discussed that all the committees need to develop preliminary budgets since this information is necessary for fundraising purposes are necessary. It was stated that the 275th Committee’s budget was approximately $100,000. An organized budget is needed to sell ideas to various contributors; i.e., the Golf Tournament sponsored by whomever, the Eastern Bank has a grant available, etc. What expenses are going to be incurred and what income is expected? Kathy further stated that the Tree Lighting event, visiting with Santa and hay rides will occur on December 5, 2010, 2:30 p.m. until 5:00 p.m. A table will be set up on the Green for the 300th Anniversary to provide information and sell the jewelry and patches. Margi Neil will man the table during these hours until the switch is thrown at 5:00 p.m. A pamphlet or brochure was discussed listing all the events to take place and pertinent information regarding the 300th Anniversary Committee as to when the committee meets, what is needed, who would like to sign up to help and generally to advise the citizens of Pembroke of what is going on. A Mission Statement was discussed.
13. Aviation: Beth York reported that skydiving depends on the weather and 50 to 90 days is required to prepare for approval and licenses.
14. Police Tactics: no report
15. Colonial Encampment: no report
16. Kick-Off: no report
17. 300th Jewelry: Mike Kirby’ generous donation of 250 pins was gratefully received and the pins/tie tacks are being sold at the library, town hall and the media center.
18. Historical Home Tour: Judith Parks is in charge and organizing this committee. No report.
19. Coins: Bob Dorsey gave a report on information he received from Northwest Mint. The raise on the coin will determine the cost. Flat and just a small raise would be less expensive but with a more significant raise it would be more expensive. Each die would cost between $250 to $1,500 depending on the raise and if they require an engraver. The coin itself would depend on the metal being used—silver or base metals. Bob will bring samples to the next meeting.
20. Pewter Plates and Mugs: no report. Libby Bates not in attendance.
21. School Pins: no report. Judy McAuliffe not in attendance.
22. Fireworks: Bob Dorsey reported that the cost would be $15,000. He does not know what the up-front cost would be nor whether in includes insurance. The fireworks are to be set off at the recycling center. In discussing the location with the Chief of Police it was determined that this would be the best location for safety purposes. The landfill should be completed by this time. Bob has heard that Tiny and Sons wants to be involved donate towards the fireworks. He will report the up-front cost as soon as he is able. Parking was discussed and the $5 fee mentioned. It was suggested to combine the fireworks with the carnival but then thought it may be too cold for the carnival in March since the fireworks are to be displayed on the 300th Anniversary date.
23. Town Sign: no report
24. Antique Car Show: no one has contact Deborah Wall concerning this.
25. Town Events: other events happening in Pembroke would like to take on the 300th Anniversary theme.
26. Art Festival: no report.
27. Religious Activities: no report
28. North River Cruise: no report
29. Brick Walk: John Proctor and Otis Hathon gave a presentation on the site plan for the brick walk which Pembroke residents or whoever can buy either because they want to be recognized as being here for the 300th Anniversary or in memory of someone, etc. They would like to keep the cost as low as possible to make the bricks available to everyone desiring to purchase one. They distributed (see attached) “A lasting remembrance for anyone who has called Pembroke their home” which described the use of the engraved bricks for a pathway, the “destination” locations discussed and the final one selected and why. The Mattakeesett Garden Club will supply plantings. There will be a mosaic logo of the 300th Anniversary Committee incorporated into the site. Questions and suggestions were made. The planning has begun. Marketing will begin during 2011 with the building of the walk taking place in 2012 with the start of the good weather. The site and design is what is being presented at this point and the up-front money for the bricks is to be determined. This project is not a fundraiser. The walk could be built in sections placing the bricks in stone dust and securing them more permanently at a later date.
30. Patches: no report—they are being sold.
31. Carnival: no additional news.
32. Golf Tournament: no report. Looking to set a specific date. It was determined that there would be no need for up-front money but contributors will be sought for prizes, etc.
33. Closing Events: no report
34. Sponsorship/Fundraising: needs to have meeting.
35. Quilting Committee: Deborah Wall discussed the two quilts being made. There is a need to find someone either the school or a carpenter willing to donate time to build a cabinet for the quilt that is to be a memorial to the town since such a case is quite costly. The committee would supply the materials.
36. Raffle: The $10,000 suggested by Steve Walsh was discussed in relationship to town counsel being involved regarding filing fees. Claudia Cuscianna will discuss the raffle with Steve Walsh. Claudia distributed information regarding fundraising information (see attached). She requested budgets from all committees which is necessary for fundraising. She wanted to know the names of any of the vendors that the town uses. She would like to know all the businesses in Pembroke and any businesses that could involve Pembroke residents.
37. Promotional Products: no report (Rob Sheldon from AB Specialties gave a presentation at the last meeting).
38. Tree Planting: concern was expressed about transplanting seedlings now to grow in containers for later transplanting along the roads. The saplings may never reach a size that would be determined as functional to survive. The DPW has a certain criteria regarding the size of the trees that they plant which they considered necessary for the trees survival. This is not a totally bad idea but there are questions. Research is needed.
39. New England Village: no report. They are very willing to participate in the 300th Anniversary plans and they do beautiful work.
The next meeting is scheduled for December 21, 2010 and Lew stated that Bill Boulter would like a consensus as to whether everyone would like to meet on that date. It was decided that it would be best to postpone the meeting until January 18, 2011.
