300th ANNIVERSARY COMMITTEE MEETING

 

TOWN INCORPORATED MARCH 21, 1712

 

 

 

Date: February 16, 2011

Time: 7 p.m.

Place: Pembroke Country Club

 

Present at this meeting were:

Karen Proctor, John Proctor, John Mattinson, Phil Burnham, Pat Ahearn, Kyle McGivney, Bob Dorsey, Mari Neil, Clair Walsh, Julie Thompson, Lew Stone, Art Egerton, Kyle Hurney, Claudia Cuscianna, Beth York, Rick, Madden, Shawn Hennigan, Jeff Kavanah and Janet Fahey.

Bill called the meeting to order at 7:10 p.m.

The minutes of January 19, 2011 were read with a correction of the kick off date to 2012

and the Golf Tournament will be on May 14, 2011 – not May 6, 2011.

At that time there was a motion to accept the minutes from January 19, 2011. Seconded by Claire Walsh. All in favor.

1. Budget:

Bill discussed the budget with the Committee and the importance of accumulating funding for the different events that are being planned. Bill also mentioned that funding will need to be accumulated for paying the Police, Fire, and DPW for their services for the upcoming events. Bill will be submitting an article at Town Meeting for this and other expenses.

2. Pewter Plates:

Bill mentioned that he has placed the order for the pewter plates and has paid for one- half the order. Remainder of payment upon completion.

3. Farmers Market:

Beth York stated that she is involved with the Farmer’s Market and we will be able to place our products there to sell.

4. Antique Car Show:

Tiny Brown wishes to have the Antique Car Show on May 15, 2011 from 9 – 3. He will give us updates on admission fee and there can also be a food table and a product table at this event

5 Coins:

Bill is still working on this. He mentioned that the logo would go on the front and the Committee still needs to decide what will go on the back. The coins can be silver with a gold ship on it.

There are several options for material used for these coins.

Silver and Gold in a casement - $48.00

Brass - $4.50

Antique Copper - $4.50

As the Committee has discussed at past meetings, a gift needs to be given to the sponsors of the 300th. A suggestion was made that the higher priced coins, if ordered, be given to the sponsors that donate at the highest level.

6. Fundraising:

Bill will be setting up a meeting with this Committee. Claudia Cuscianna has stated that she would be interested in this committee. Bill gave Claudia his sponsor name listing.

7. Golf Tournament:

Julie Thompson has stated that the Golf Tournament will be on May 14, 2011 at 1 p.m. and it will be at the Pembroke Country Club. She will be needing assistance for this event. Julie has already obtained a few items to be raffled off for this event. Anyone interested in being part of this committee, please contact Julie directly.

Julie mentioned the price is $125.00 per player. It includes 18 holes of golf, cart and dinner. People can also come to just the dinner for $35.00.

Julie is still in need for ideas for the evening events after dinner. Perhaps music or a comedian. She also wishes to get businesses to sponsor a table. There will also be a raffle or a live auction.

Julie wishes to have a meeting with her committee on the 23rd at 1 p.m. at her home. Please contact Julie if you plan to attend.

8. North River Canoe Race:

It is thought at this time that perhaps this event should not be done. Perhaps a Treasure Hunt with a historical theme would be better. Bill will give us more information later.

9. Kick off Event:

This will be on January 15, 2012 at the Pembroke Country Club. There will be films of the 275th at this event. More information later.

10. Booklet Committee:

Karen Proctor mentioned that this will be a hard cover book. She is on a time line for this. Subjects for this book will be Shipbuilding, Native Americans, Mayflower Grove, etc. June through October will be the layout. In October it will go to print and be ready for Christmas.

11. Ball Committee:

Claire mentioned that the ball will be June 16, 2012. The wish is to have big band music. Claire stated that the committee is looking for sponsors for the flowers and other items. Claire also mentioned that there is a possibility of a horse and carriage ride at the ball.

12. Carnival:

Bob Dorsey suggested that the carnival be in May. More information to come.

13. Website:

All committee chairs are to update Deborah Wall with any information from their committee. It was mentioned that some corrections need to be made to the website.

14. Parade Committee:

Phil mentioned that they had a very good meeting. Beth York is joining that committee. Bill spoke to Tiny Brown would like to be part of the parade. John Mattision submitted the rules and regulations for the parade for review. These will be given to all the participants. The parade will be September 23, 2012.

15. Herring Run Road Race:

Beth will have on-line registration for this event and she will put link on the website. Beth’s fax number is 800-895-1589.

16. Production:

Kyle Harney is setting up interviews with the different committees. Kyle will also be interviewing long time residents of the town to tie in with the 300th Anniversary.

17. Printing:

Shawn mentioned this is going well.

18. Public Relations:

No report.

19. Aviation:

There is no report as yet.

20. Tactical Team:

Chris Wyman is working on this project. This program is currently done in conjunction with Kingston PD and they are planning to do this for us in Pembroke.

21. Colonial Encampment:

Bill mentioned that Rick Janhola will return soon and be able to give us an update.

22. House Tour:

No report.

23. School Pins:

No report.

24. Fireworks:

It is stated that before anything else can be done a location needs to be obtained as well as a deposit. The cost of this would be $15,000.00. Nothing else to report at this time.

25. Religious Activities:

It is wished to have all the churches in Pembroke be a part of this year long event. Committee people are contacting the clergy.

 

 

26. North River Cruises:

Bill is working on this and will update the committee later.

27. Brick Walk Way:

John Proctor gave the committee an update stating that each brick will cost between $30 - $40 for one, two, or three lines. The company that manufactures these bricks is in Clinton, Ma. He presently has a rough draft and brochure with an order form.

If the committee orders over 100 bricks, the shipping is free. They can be installed in the summer. These will go to the right of the bandstand in the Center. John stated that marketing is needed for this.

John mentioned that he would like to see a 3 x 3 mosaic with the 300th seal at this site. Perhaps this could be done with a donation. He is checking with companies presently and the brick company is sending a sample to him.

28. Quilt:

It is coming along. This was reported to Bill by Deborah Wall.

29. New England Villages:

No report.

30. Jewelry:

This is ongoing.

Bill mentioned that the K.E.E.P. Company in Pembroke wishes to be involved as they were involved in the 275th. They will be contacted.

31. Patches:

These are going along pretty well.

32. Tree Reforestation:

Rick Madden is looking for saplings for this project. He is requesting a sponsor letter to be written so he can go forward with this project. This will be done.

33. Closing Events:

Bill stated that he needs assistance for this event. This event will be for Committee people in recognition of their efforts.

Next meeting will be the third Tuesday of March. The date is March 15, 2011 at 7 p.m. at the Pembroke Country Club.
